fies.ro: a multi-supplier store with personalisation and gift cards

The store of the Together for Education and Health Foundation at the “Carol Davila” University of Medicine and Pharmacy: medical apparel, university merchandise, fashion and courses. Products come from three different suppliers, can be personalised with embroidery and can be paid for with gift cards. We rebuilt the design and wrote the order flow around the way they actually work.

One order, three suppliers, a lot of manual work

FIES holds no stock: lab coats come from a medical apparel manufacturer, merchandise from a print shop, fashion items from a third partner. A single customer order can mean three parcels from three cities. The old site knew one sender and one waybill per order; the rest was handled by email and copy-paste: each supplier generated the waybill in another system, someone copied it into the site, then checked daily whether the parcel had arrived.

  • Product personalisation (embroidered name, specialty, logos) was requested in the notes field and easily lost.
  • The gift card came from a plugin that had left empty pages behind and a coupon consumed all at once, whatever its value.
  • English strings throughout the store, unformatted order emails, a default 404 page.
  • The site sat on shared hosting, without automatic backups, with administrator accounts lacking two-factor authentication.
What we did

The order follows the suppliers, not the other way round

WordPress with WooCommerce and Avada, plus a custom plugin for everything about suppliers, parcels, personalisation and gift cards.

Multi-supplier orders

  • The order is split automatically into parcels, one per supplier; the customer sees in their account what is in each parcel and where it is, like on the big marketplaces.
  • Each supplier gets only their products by email and opens the order with their own account, where they see and update their part.
  • Sameday waybill generated from the order for each parcel, from the supplier's warehouse (four dispatch points: Bucharest, Popești-Leordeni, Târgu Mureș), with a choice of home delivery, easybox locker or pickup point.
  • When every parcel has a waybill, the order moves to “shipped” by itself and the customer receives the tracking codes; an automatic process asks the courier every hour and marks the order “delivered”.
  • Shipping cost depends on the option chosen: 32 lei to the door, 23 lei to a locker, free above 600 lei, calculated at checkout.

Personalisation and gift cards

  • Per-product personalisation (name, specialty, logo, position), priced per option, on the product page and in the quick-add window; defined once and copied to new products from a menu.
  • The options reach the order, the supplier's email and the invoice, with the lead time shown to the customer.
  • A custom gift card: the customer picks the amount, the card is an image generated on the spot and sent by email, and the balance can be spent across several orders, with a balance check page and management in WooCommerce.
  • Size charts per product, back-in-stock notifications, reviews, product sets.

Design

  • Home page, header, footer and mega menu rebuilt, with a custom icon set.
  • Single-page checkout with clear steps and payment kept to the essentials; no card saving on the site.
  • Customer account with orders by parcel, a custom 404 page, returns and personalisation pages.
  • The whole store in Romanian, with diacritics, including plugin strings and emails.

Functionality

  • Card payments through Banca Transilvania, automatic invoicing through SmartBill.
  • Sign in with Google.
  • Formatted order emails, with a copy to the foundation.
  • Courses and medical conferences with quote requests, in the same structure.

Migration and security

  • Moved from shared hosting to our own server, containerised, with the certificate issued before the DNS change, so no downtime.
  • Cloudflare in front, application firewall, daily backups of database and files.
  • Two-factor authentication for administrators, separate supplier accounts with limited rights.
  • Dedicated SMTP for the store's emails.

SpeedOn 5 September 2026, before optimisation, the home page scored 81 on desktop and 35 on mobile in Lighthouse. After a day of work on fonts, critical CSS, scripts deferred until after first paint and the gallery: 95 on mobile and 100 on desktop for the home page, 92 to 98 on mobile for categories and products (PageSpeed Insights). The mobile product page was also made compact: photo, price and options fit on the first screen, and the add-to-cart button follows you in a sticky bar.
